Depending on the subscription plan, Aikorax may also provide AI-powered functionality.

2. Eligibility

You must be legally capable of entering into a binding agreement under applicable law to use the Services.

If you create an account on behalf of a company, coworking space, or other organization, you confirm that you are authorized to act on its behalf.

3. Aikorax Accounts

Some Services require an account.

You agree to:

• Provide accurate and current account information

• Maintain the security of your login credentials

• Keep your account information up to date

• Notify us promptly of unauthorized access

• Not share credentials in a manner that violates your subscription or security requirements

• Be responsible for activity performed through your account

Organization administrators are responsible for managing users, roles, invitations, and permissions within their organization.

4. Organizations and Workspaces

Aikorax allows organizations to manage coworking locations and related resources.

Depending on the subscription plan, an organization may create or manage:

• Locations

• Spaces

• Desks

• Meeting rooms

• Members

• Membership plans

• Bookings

• Visitors

• Events

• Invoices

• Payments

• Reports

• Notifications

• Community content

Organization administrators are responsible for information entered into their workspace and for ensuring that their use of Aikorax complies with applicable laws.

5. Member and Visitor Information

Organizations may use Aikorax to manage information about their members, employees, visitors, guests, or other users.

The organization using Aikorax is responsible for:

• Providing appropriate privacy notices

• Obtaining required permissions or consents

• Using information lawfully

• Configuring access controls appropriately

• Managing user permissions

• Responding to applicable privacy requests

Aikorax provides technical functionality to help organizations manage this information but does not determine the lawful purpose for which an organization collects every item of information.

6. Bookings

Aikorax may allow users to book desks, dedicated workspaces, meeting rooms, and other resources.

Bookings are subject to the rules and availability configured by the relevant coworking organization.

Aikorax does not guarantee that a particular desk, room, amenity, or physical workspace will be available unless the booking has been successfully confirmed through the applicable system.

Organizations are responsible for their own workspace availability, operating hours, cancellation rules, and physical facilities.

7. Check-In and Check-Out

Aikorax may provide QR-code and other check-in/check-out functionality.

Check-in records may be used for:

• Booking validation

• Occupancy tracking

• Security

• Billing

• Usage analytics

• Workspace operations

Aikorax does not guarantee that every physical access-control or QR-based process will operate without interruption.

8. Visitor Management

Aikorax may provide visitor registration, visitor check-in, host notifications, badges, and visitor history.

Organizations are responsible for establishing visitor policies and ensuring that visitor information is processed lawfully.

9. Events and Community Features

Organizations may use Aikorax to create events, manage RSVPs, publish community information, and facilitate communication between members.

Users must not use community or event functionality to:

• Harass others

• Publish unlawful material

• Impersonate another person

• Distribute malicious software

• Publish confidential information without authorization

• Send spam

• Promote fraudulent activity

Organizations may moderate content and manage community participation according to their own policies.

10. Subscriptions and Plans

Aikorax may offer multiple subscription plans with different feature limits and entitlements.

Current plans may include Free, Starter, Pro, and AI Pro tiers.

Features, member limits, pricing, and availability may vary by plan and may be changed from time to time.

The applicable plan and pricing presented to you at the time of purchase or renewal will govern your subscription, subject to applicable law and these Terms.

11. Free Plans and Trials

Aikorax may offer free plans, trials, promotional periods, or limited-access features.

Free plans may include restrictions such as:

• Member limits

• Feature limitations

• Usage limits

• Storage limits

• Reduced support

• Restricted integrations

Aikorax may change or discontinue free plans or trials where permitted by applicable law.

12. Paid Subscriptions

Paid subscriptions may automatically renew according to the billing period selected when you subscribe.

By subscribing to a paid plan, you authorize the applicable payment provider to charge the payment method associated with your subscription for recurring charges, taxes, and other applicable amounts.

Subscription prices are displayed before purchase.

13. Payments

Aikorax may use third-party payment processors, including Stripe, to process payments.

You agree to provide accurate billing information and maintain a valid payment method where required.

A payment processor may have its own terms and privacy policy.

Aikorax does not directly control the operation of third-party payment networks.

14. Subscription Changes

Depending on the applicable plan and billing system, you may be able to:

• Upgrade your plan

• Downgrade your plan

• Cancel your subscription

• Reactivate a subscription

• Update payment information

The effective date and financial consequences of plan changes may depend on the billing cycle and applicable subscription rules.

15. Cancellation

Unless otherwise required by law or expressly stated at the time of purchase, cancellation does not automatically create a right to a refund for previously paid subscription fees.

If you cancel, access to paid features may continue until the end of the applicable paid billing period unless otherwise stated.

Where a refund is approved, the refund may be processed through the original payment method or applicable payment provider.

17. AI Features

Aikorax may provide AI-powered features including:

• Meeting summaries

AI-generated results may contain errors, omissions, inaccuracies, or recommendations that are not appropriate for a particular situation.

You are responsible for reviewing AI-generated information before relying on it for operational, financial, business, legal, security, or other decisions.

Aikorax does not guarantee that AI-generated content will always be accurate, complete, current, or suitable for a particular purpose.

You must not use Aikorax AI features as a substitute for professional legal, medical, financial, accounting, security, or other professional advice.

18. Customer Content

You retain ownership of content and information that you submit to Aikorax, subject to the rights necessary for us to provide the Services.

You grant Aikorax the limited rights necessary to host, process, transmit, store, display, and otherwise use your content to provide, secure, maintain, and improve the Services.

You represent that you have the necessary rights and permissions to submit content to Aikorax.

19. Feedback

If you provide suggestions, ideas, feature requests, or other feedback regarding Aikorax, you grant us permission to use that feedback without restriction or compensation, provided that doing so does not disclose confidential information belonging to you.

20. Intellectual Property

The Aikorax platform, software, website, branding, logos, designs, interfaces, documentation, and related materials are owned by or licensed to Aikorax and are protected by applicable intellectual-property laws.

Except as expressly permitted by these Terms, you may not:

• Reverse engineer the Services

• Modify or create derivative works of the Services

• Resell the Services without authorization

• Attempt to extract source code

• Circumvent technical restrictions

• Remove proprietary notices

• Use Aikorax branding without permission

21. Acceptable Use

You agree not to use Aikorax to:

• Violate applicable law

• Commit fraud

• Distribute malware

• Conduct unauthorized security testing

• Attack or disrupt infrastructure

• Attempt unauthorized access

• Circumvent authentication

• Scrape or extract data through unauthorized methods

• Abuse APIs or system resources

• Send spam or malicious communications

• Impersonate another person or organization

• Store or distribute unlawful content

• Infringe intellectual-property rights

• Interfere with another user's access to the Services

We may suspend or restrict access where reasonably necessary to protect the Services, users, or third parties.

We aim to provide a reliable and secure service, but we do not guarantee that the Services will always be:

• Uninterrupted

• Secure against every possible threat

• Compatible with every device or software environment

Maintenance, updates, outages, network failures, third-party service failures, and other circumstances may temporarily affect availability.

25. Security

We implement reasonable security measures designed to protect the Services and information processed through them.

However, no online system can guarantee absolute security.

You are responsible for protecting your account credentials and using appropriate security practices.

26. Data and Backups

Aikorax may maintain backups and recovery systems as part of operating the platform.

However, you remain responsible for maintaining appropriate copies of information that is important to your business where appropriate.

We do not guarantee that every piece of information can be recovered following every failure, deletion, corruption event, security incident, or third-party infrastructure failure.

27. Suspension

We may temporarily suspend or restrict access to an account where reasonably necessary to:

• Protect the Services

• Prevent fraud or abuse

• Investigate security incidents

• Address violations of these Terms

• Comply with legal requirements

• Address overdue payments

• Protect other users

Where appropriate and reasonably possible, we may provide notice before suspension.

31. Indemnification
