How does meeting room booking software prevent double-bookings?
Aikorax checks availability against its own booking records. It does not currently synchronize with Google Calendar, Outlook, or other external calendars. Confirmed bookings include an .ics calendar invitation that members can add to their calendar.
Can members book rooms using their monthly membership credits?
Yes. You can assign monthly free meeting room hours to any membership tier (e.g., 5 hours/month for dedicated desks). The system automatically tracks used allotments and prompts for Stripe payment once the allowance is exceeded.
Can non-members book meeting rooms from our website?
Yes. Aikorax provides embeddable public booking widgets and white-label booking pages. Non-members can view public availability, select their timeslot, sign your space policy, and pay instantly via credit card.
How do automated booking confirmations and reminders work?
Once a reservation is confirmed, Aikorax sends an email confirmation with an .ics calendar invitation when email delivery is configured. Reminder behavior depends on the workspace automation setup.
What happens if a member needs to cancel their room reservation?
You can set custom cancellation windows (e.g., free cancellation up to 2 hours before). If cancelled in time, booking credits or charges are automatically restored to the member’s balance.
